JOB SUMMARY:
The Facilities Manager leads a dedicated team of maintenance technicians, ensuring the safe, timely, and cost-effective upkeep of all St. Vincent de Paul buildings and properties. Focusing on inspiring leadership, training, and operational excellence, the Facilities Manager upholds our organizational goals and fosters a positive, service-oriented environment that supports our neighbors and community.
ESSENTIAL DUTIES and RESPONSIBILITIES:
· Train, supervise, and support technicians within assigned areas.
· Prepare and monitor weekly work schedules.
· Assign daily tasks based on the Maintenance List and other urgent facility-related emergencies.
· Train staff on company policies and procedures.
· Monitor performance, address issues, and escalate continued problems to the SDRO/HR (Senior Director of Retail Operations/Human Resources).
· Communicate maintenance department needs to the SDRO.
· Oversee all maintenance requests to ensure safe, clean, and timely completion.
· Schedule repairs for any unsafe mechanical issues and report them to the Safety Manager if applicable.
· Discuss and obtain SDRO and/or Director approval for bids, estimates, and equipment replacements exceeding $5,000.
· Partner with Store Managers and Assistant Managers to coordinate repairs effectively.
· Manage relationships with contractors and service providers, and schedule contractors for major repairs as required
· Promote teamwork, cooperation, and positive morale among technicians and all departments.
· Enforce work rules outlined in the Employee Handbook.
· Support accountability through documented coaching and consistent performance feedback. Make corrective action suggestions to HR/SDRO.
· Recommend written warnings, suspensions, or terminations to the SDRO/HR.
· May initiate temporary suspension of technicians for safety-related incidents pending review with SDRO.
· Report any inappropriate behavior from store associates or donors to the SDRO.
· Train staff on Paylocity or other payroll systems.
· Monitor and approve time records by each payroll deadline.
· Act as a safety champion, ensuring compliance with OSHA regulations and applicable codes, reporting violations to the Safety Manager and Directors/HR.
· Maintain up-to-date knowledge of city, county, state, and federal building codes; report violations to the SDRO and/or ED (Executive Director).
· Respond appropriately and creatively to the challenges of operating a profitable department via sales expense controls.
· Maintain employee timekeeping using the payroll system, including PTO requests, FMLA and Sick time, and note reasons for absence or lateness in the timecard.
· Maintain a pleasant, professional, service-oriented environment by modeling expected behavior for other employees and promoting a sense of teamwork and good morale among the staff
· Proactively address and resolve concerns raised by customers, volunteers, clients, donors, and staff by using active listening, empathy, and de-escalation techniques. Any unresolved concerns should be escalated to the SDRO/ADRO (Associate Director of Retail Operations)
· Meet deadlines for employee reviews and formal coaching expectations
· Communicate and represent the interests and needs of the facilities to the SDRO/ADRO
· Maintaining visual checks of buildings, grounds and equipment - communicating issues to the SDRO and/or Safety Manager to provide a safe and clean working environment that complies with all state and local building and fire codes while implementing safety policies through training - reporting safety hazards, and correcting unsafe employee practices
· Attend management meetings as scheduled by the SDRO/ADRO
· Work with staff to maximize production efficiencies and promote teamwork within the department.
· Ensuring daily deployment meets facility and departmental responsibilities.
· Maintains Google Calendar for proper time management proficiencies
· Assist Directors and other leaders in improving processes and/or performance and making budget recommendations for facility improvements.
· Support efforts to create a more inclusive and equitable organization. Participate in teamwork and collaboration, listen, foster dialogue, and facilitate joint problem-solving while supporting an inclusive and equitable organization.
· Adhere to the Safeguarding Policy by ensuring timely completion of mandatory training, staying updated on relevant training modules, and undergoing the necessary background checks to maintain compliance.
· Responsible for completing other duties/responsibilities as assigned by the Directors
Requirements:QUALIFICATIONS & KEYS TO SUCCESS
This position requires frequent communication and assistance among numerous departments. Therefore, this individual must have:
· Strong communication skills to effectively interact with employees, managers, donors, and customers.
· Above-average skills in electrical, plumbing, carpentry, HVAC, safety, lighting, hand/power tools, test equipment, and material handling equipment (e.g. forklifts, pallet jacks).
· Familiarity with applicable building codes and safety regulations.
· Availability after hours and weekends for emergencies. Sat/Sun on-call rotating schedule with maintenance techs
· Moderate computer proficiency with the ability to use various programs and the internet.
· Be able to exercise superior judgment skills with the ability to work independently, manage multiple projects despite interruptions and can adapt to ever-changing needs and priorities.
· Possess the ability to solve various problems of moderate scope and complexity and contribute to projects and goals.
· Be able to function in a professional business environment, have strong professional communication skills and provide a high level of confidentiality.
· Strong organizational skills and ability to set priorities and meet deadlines.
· Demonstrates cultural humility and the ability to communicate and work inclusively with people of all backgrounds and abilities.
· Demonstrate the implementation of best practices as required by the SVdP Safeguarding policy when interacting with children and vulnerable adults.
· For the safety of the clients SVdP serves, and as per the Safeguarding Policy, this position requires successfully completing a criminal background check.
ESSENTIAL REQUIREMENTS
The mental and physical requirements described here represent those that must be met by an individual to successfully perform the essential functions of this position. While performing the duties of this job:
· 2-4 years of hands-on experience in maintenance, with 1 -2 years supervisory or managerial experience.
· High school diploma or equivalent; Degree from a vocational school or BSc/BA in business administration or facility management a plus
· Facility Management Professional (FMP) or Certified Facility Manager (CFM) credential strongly preferred
· OSHA 30-Hour Certification preferred; organization will pay for certification if needed
· Experience with Windows operating systems, Microsoft Office Suite and Google applications and typing 55 words per minute is required.
· Proven analytics skills, including research and evaluation
· Excellent writing skills and communication skills, including writing reports and leading presentations
· Demonstrated success working in a collaborative, team-oriented environment
· Continual learner, willing to seek additional opportunities to gain experience, knowledge and skills.
· Manage deadlines well, planning and fulfilling responsibilities with minimal direction.
· The employee must have a valid driver’s license and reliable personal transportation and must meet insurability requirements under the organization's policy. Must report any moving violations to the SDRO.
· Must pass a pre-employment drug screen; position requires participation in company-provided forklift training and certification.

The working environment of the Thrift store and Processing Center may contain dust, debris or allergens commonly associated with all manner of pre-owned clothing, furniture and household goods. Certain areas of the facilities are only partially climate-controlled.
