Job Title: Part-Time Executive Assistant (Hybrid – Chicago, IL)

Location: Chicago, IL (2 in-person days per week, remote otherwise)

As we grow, we're looking for a tech-savvy  Part-Time Executive Assistant who is not just organized, communicative and proactive, but someone who sees themselves as a  brand ambassador , a  team player , and a  key contributor to our mission.

About the Role:

This hybrid position supports the firm’s executive leadership team with primary tasks such as scheduling, internal coordination, travel, event planning, administrative operations, and other impromptu or short-notice situations that arise from time to time. It’s an ideal position for someone who thrives in a fast-moving tech-centric environment, is extremely organized, stays proactive and consistently takes initiative, and is open to learning about a dynamic and fast-evolving industry.

This is a hybrid role based in  Chicago , requiring  two in-person workdays per week , with the remaining hours being remote.

Key Responsibilities:

• Proactively manage and optimize executive calendars, meetings, and priorities
• Coordinate internal projects, task lists, and follow-ups with attention to detail
• Serve as a professional and reliable point of contact with clients, partners, and vendors
• Prepare meeting materials and assist in documenting strategic initiatives
• Assist with social media and marketing initiatives 
• Maintain organized and up-to-date digital files and workflows using Microsoft 365
• Help drive team accountability, communication, and operational clarity
• Assist in harnessing AI and other software for all appropriate internal and external use cases
• Represent Op2mize’s brand and values in every interaction—internally and externally

What We’re Looking For:

• A highly organized, self-motivated professional with excellent follow-through
• A natural communicator and collaborator who is also able to work independently
• Comfortable juggling multiple priorities and staying composed under pressure
• Strong working knowledge of Microsoft 365 (Outlook, Excel, Word, Teams, OneDrive)
• Familiar with other software such as CRM (Pipeline), Adobe, DocuSign, Canva, Gamma and others
• Social media savvy
• A genuine curiosity to learn and willingness to grow within the energy and commercial real estate industries
• Someone who takes pride in representing a brand and fostering a positive, solutions-oriented culture

Bonus: 

• Substantial previous experience supporting entrepreneurs, founders and/or senior executives
• Familiarity with project or client management tools (e.g., Teams, Fireflies, CRM’s)
• Familiarity with social media platforms and account management (e.g., Linkedin, Instagram, Tik Tok, Hootsuite)
• An interest in sustainability, utilities, technology, and real estate

Compensation:

• This is a 1099 position with no benefits. A fair hourly wage will be paid based on experience. Some discretionary bonus may be paid based on performance metrics. Anticipated 15–20 hours per week with potential to grow based on mutual fit, performance, and fluctuating business needs.
