This role is the critical bridge between leadership vision and tactical execution, ensuring that growth initiatives are delivered on time, on budget, and at a high standard of quality.

In this role, the Senior Manager will also be responsible for leading, coaching, and developing a team of senior project managers. The Senior Manager, Integrated Program Management will coordinate across multiple departments - including Marketing, Creative, Sales, Operations/Warehousing, Finance, and HR - to maintain seamless communication, optimize workflows, and ensure that each team’s efforts align with company objectives. This role is pivotal for a fast-scaling startup in the functional beverage sector, where speed, alignment, and clarity are essential.

Core Responsibilities

1. Strategic Project Leadership

  • Translate high-level business strategy into detailed, executable project plans aligned with company objectives (OKRs).
  • Own and manage project timelines, milestone planning, and task delegation across departments.
  • Lead the development of integrated launch calendars, campaign timelines, and cross-functional roadmaps for product launches, DTC growth, and retail activations.
  • Establish and maintain clear processes for project intake, prioritization, and execution, ensuring resources are properly allocated.
  • Stand-up and lead a PMO department to provide end-to-end project, process, and portfolio management for all innovation and renovation for beverage business units.
  • Portfolio Management: Provide reporting, facilitate prioritization and decision-making, and make recommendations for improvement.

2. Cross-Department Coordination

  • Serve as the primary owner of cross-functional initiatives, acting as the main point of contact between Marketing, Creative, Sales, Operations, HR, and Finance.
  • Ensure all departments understand project scope, timelines, and expected outcomes, maintaining alignment across teams.
  • Lead regular meetings with department heads to review strategic progress, resolve challenges, align priorities, and ensure accountability at all levels.
  • Proactively resolve conflicts and align competing priorities, escalating to leadership when necessary.

3. Communication & Leadership Alignment

  • Maintain constant visibility with senior leadership (VP of Marketing, Sr. Director of MarCom, Director of Creative, Director of Commercial Ops), providing regular project status updates, risk assessments, and mitigation strategies.
  • Develop and distribute standardized project reports, dashboards, and status updates for leadership review.
  • Present project outcomes, insights, and improvements in leadership meetings, ensuring executive stakeholders have clarity.

4. Operations & Execution Excellence

  • Process Management: Drive the implementation of new systems and continuously enhance innovation processes and tools, including the governance structure, stage-gate framework, and Project Portfolio Management (PPM) system.
  • Oversee project scoping, resourcing, and deadline management to keep initiatives on track.
  • Manage external resources, including agency partners (creative vendors, media partners, supply freelancers), ensuring clear deliverables and deadlines.
  • Ensure all deliverables meet brand standards and are optimized for their respective channels (retail, DTC, digital, social).

5. Cross-Functional Initiative Ownership

  • Lead the end-to-end execution of integrated projects, ensuring seamless coordination across functions for initiatives such as new market entry, system implementations, experiential programs, and product rollouts.
  • Coordinate launch planning with Operations to ensure product availability, warehouse readiness, and distribution support.
  • Partner with Sales and Retail to ensure field teams have aligned messaging, assets, and POS support.
  • Partner with Finance, the COO, and HR to ensure effective budget tracking, resource planning, and talent support across all initiatives.

Day-to-Day Responsibilities

  • Manage and maintain project calendars, task lists, and execution timelines for all major initiatives.
  • Host daily and weekly check-ins with department leaders to track progress and drive accountability.
  • Facilitate project kick-off meetings, aligning expectations and deliverables.
  • Maintain active communication across teams to ensure clarity on project scope, responsibilities, and deadlines.
  • Regularly review and update project management tools to reflect real-time progress and upcoming tasks.
